Terms of Service & Donation Policy

1. Introduction

Welcome to Everyday Humanitarians (“EH,” “we,” “us,” “our”). These Terms govern your use of our website and services and set our donation policy. By using our site or donating, you agree to these Terms. If you disagree, please don’t use the site. See our Legal Notice for corporate details and disclaimers.

2. What we do (summary)

Everyday Humanitarians (EH) pools small recurring donations into a Goal Pot. When the pot reaches its target, we fund one Action that serves the public (see Section 9 for details):

  • Specific Project Close (small, concrete, listed project),
  • Program Contribution (ongoing program), or
  • Direct Action by EH (we or a delegate execute locally).

After each disbursement, we publish our redacted receipt and, when available, a public link; every Action is listed in our public ledger.

3. User Eligibility

To use our website and services, you must be at least 18 years old. If you are under 18, you may use our platform with parental or guardian consent.

4. Acceptable use

You may only use our website for lawful purposes. Any activities that may disrupt the platform or harm its integrity are prohibited. Violations may lead to restricted access.

5. Donations & billing

  • Recurring only. Subscriptions are quarterly or annual (default: a monthly amount billed quarterly to reduce fees). By subscribing, you authorize charges each cycle until you cancel.
  • Processors. Payments are handled by third-party processors (e.g., Donorbox/Stripe). We do not store your full payment credentials.
  • Currency & fees. Donations are processed in the currency shown at checkout; your bank/processor may apply exchange or other fees.
  • Tips (optional). You may add an optional tip at checkout to help cover EH’s operating costs. Tips are voluntary and can be edited or skipped.
  • One-time gifts. If/when offered, they will be clearly labeled and governed by these Terms.
  • No tax receipts. EH is a federal not-for-profit under the CNCA, not a registered charity. We do not issue charitable donation receipts.

Sanctions / blocked jurisdictions. We do not process payments to or from sanctioned parties or restricted jurisdictions under processor policies and applicable law.

6. Public benefit; no private benefit; no consideration

  • Public benefit. EH operates exclusively for public benefit. No part of our income or assets is payable to, or available for the personal benefit of, any Member, director, officer, or donor, except for reasonable expense reimbursements or fair-market-value compensation for services in another capacity, in line with our bylaws.
  • No consideration. Donations are voluntary and not made in consideration of goods, services, or other private benefits.

7. How funds are allocated

  • Current policy (pass-through). 100% of donations, net of standard payment processing and transfer/FX fees, are applied to Actions. EH’s essential operating costs (e.g., compliance filings, domain/hosting, core technology, and basic communications) are funded by optional donor tips, merch sales, sponsorships, grants, interest, and other unrestricted revenue.
  • Pooling & timing. Donations are pooled and disbursed after the Goal Pot target is met. Timing can vary (holidays, time zones, processor holds).
  • If plans change. If a selected project becomes unavailable or unsuitable before disbursement, we may reallocate to the closest public, verifiable alternative within the same cause (or to the next cycle) and note the change in our ledger.
  • Policy changes. We review this allocation policy periodically. If it changes, we will announce it in advance and update this page; changes apply prospectively.

8. Donor Designations

We consider donor designations that align with our purposes; control remains with EH. If a designation is impracticable or would risk private benefit, we may reallocate to a substantially similar public-benefit purpose and document the rationale.

9. Project selection, verification & evidence

Action types. We fund one Action per cycle in one of three ways:

  • Specific Project Close (listed project). A small, concrete project listed on a publicly accessible page (when available).

     

  • Program Contribution (ongoing program). Support to an established program (e.g., meals, trees, animal care, education supplies, medical, water).

     

  • Direct Action by EH. We (or a trusted local delegate) carry out a small, direct purchase or delivery.

     

How we choose. We apply a light-touch, good-faith screen suited to our size:

  • Legitimacy: public presence/registration or a known, trusted intermediary.

     

  • Clarity: what our contribution supports (specific project vs. ongoing program).

     

  • Verifiability: ability to publish our own receipt and, when available, link a public page/report.

     

  • Variety: rotate cause areas over time as resources permit.

     

What we publish (evidence).

  • Specific Project Close: our redacted receipt/payment confirmation and the project page link (when available). If a later public update appears, we may add that link.

     

  • Program Contribution: our redacted receipt/payment confirmation and a program/impact page link (when available). Program stories/photos are representative and may not depict our exact disbursement.

     

  • Direct Action by EH: our redacted receipt/payment proof (e.g., vendor invoice, transfer slip). If we captured owned/permissioned media with consent, we may post a small selection; otherwise we use illustrative images. We keep an internal log (date, city/region, description, amount, delegate initials, links to evidence).

     

Timing. We aim to post the redacted receipt and link within 24–72 hours after funds leave EH; all Actions appear in our public ledger.

Safeguards (Direct Actions). We prefer vendor-direct payment or a split disbursement (e.g., 70/30) when appropriate. No payments to directors/officers/related persons except reimbursements with evidence and recusal, consistent with our bylaws.

If plans change. If a selected project becomes unavailable or unsuitable before disbursement, we may reallocate to the closest public, verifiable alternative within the same cause (or to the next cycle) and note the change in our ledger.

No endorsements / no guarantees. Links/embeds of third-party pages are for transparency only and do not imply endorsement or partnership. We do not guarantee specific outcomes or timelines and aren’t responsible for third-party delays or force majeure.

10. Transparency: receipts, ledger, and links

  • Receipts & ledger. We aim to publish our redacted receipt and public link within 24–72 hours after funds leave EH. All disbursements appear in our public ledger with the Amount Sent (Net to Action) and a link to the redacted receipt.
  • Linking/embeds. We may link to or embed third-party pages/posts for transparency only. Links/embeds do not imply partnership or endorsement.
  • Media rights. We generally do not re-host third-party images/logos without permission. When images appear, they may be illustrative and labeled as such.

11. Refunds & Cancellations

Refunds (donations)

Refunds (donations). Donations are final and non-refundable, as they directly support charitable initiatives. However, we may issue refunds for: (i) duplicate donations, (ii) processing errors, or (iii) unauthorized transactions. If you believe you qualify for a refund, please contact us within 14 days of the transaction at [email protected]. Processor fees may be non-refundable; if a refund is approved, any non-recoverable fees will be deducted from the refund amount.

Cancel recurring donations. You can cancel recurring donations at any time via the Donorbox portal or by emailing us at [email protected]. Upon cancellation, no further payments will be processed, and your subscription will end at the conclusion of the current billing cycle.

How to Cancel:
  1. Log in to your Donorbox account.
  2. Go to subscription settings.
  3. Follow the prompts to cancel your recurring donation.
  4. If you need assistance, contact us at [email protected].

Chargebacks. If you dispute a legitimate donation with your card issuer, we may suspend further billing until resolved. Please email [email protected] so we can help quickly.

12. Founders Wall & acknowledgements

We only display donor names/flags with your consent. You can remain anonymous. If you opt in and later change your mind, contact us to remove or update your listing.

13. Merchandise

  • Third-party fulfillment. Merchandise is fulfilled by Bonfire (or another provider). Orders, payments, shipping, returns are governed by their terms. Everyday Humanitarians is not responsible for order fulfillment, shipping delays, or product quality issues.
  • Use of proceeds. Net proceeds support EH’s operations in alignment with our mission. Merchandise purchases are not charitable donations and not eligible for donation tax receipts.

14. User contributions (e.g., comments/testimonials)

By submitting content, you confirm you have rights to it and grant EH a non-exclusive, royalty-free, perpetual license to use, modify, and distribute it for our mission and transparency (including on social channels), subject to our Privacy Policy.

15. Intellectual Property

Site content (text, images, branding) is EH’s property or used under license and protected by law. Unauthorized copying, distribution, or commercial use is prohibited.

16. Privacy

We handle personal data per our Privacy Policy. Payment data is handled by processors under their own policies.

17. Copyright Concerns

If you believe any content on our website infringes on copyright, contact us at [email protected]. We will review and take appropriate action.

18. Disclaimer & Limitation of Liability

Our site provides informational content only and is not professional advice. While we strive for accuracy, we make no warranties as to completeness or reliability. EH and its directors/officers are not liable for any direct or indirect damages arising from site use, donation processing, third-party actions, or force majeure. To the maximum extent permitted by law, EH disclaims liability for outcomes of third-party projects/programs and Direct Actions carried out by delegates, except as required by law.

19. Indemnification

You agree to indemnify EH against claims, damages, or liabilities arising from your violation of these Terms or misuse of the site.

20. External Links

Our website may contain links to third-party websites. We do not control these sites and are not responsible for their content, policies, or practices.

21. Changes to This Policy

We may update these Terms from time to time. Updates are posted here and are effective upon posting (the Effective Date will change).

22. Governing Law

These Terms are governed by the laws of the Province of British Columbia, Canada, without regard to conflict of law principles.
